Christmas Gift Vouchers Staff Notes

Purpose:

  1. To maximise the sale of healthy "Experience Gifts" at Christmas
  2. To do so in an environmentally friendly way
  3. To offer real value for our customers at Christmas time

What are we promoting:

For £25 - a personalised Gift Voucher for a premium VIP Day

Includes breakfast or light lunch, plus 18 holes of golf (week day or weekends) on our championship course and the use of a golf buggy. Usual price for visitors to the club is £46.50

For £20 - a personalised Gift Voucher for a VIP Day

Includes 18 holes of golf (weekday or weekends) on our championship course and the use of a golf buggy. Usual price for visitors to the club is £40.00

What does the receiver of the Gift receive.  Essentially, they will get a web link to a personalised and private web page, which contains a personalised voucher ie To Ima Sample, From Mary, With a Personalised Message - https://princesrisboroughgolfclub.co.uk/ima-sample-vip-voucher/

How cool is that! The 'giver', simply texts, WhatsApp's or writes the link in a Xmas Card and the gift is delivered!

Receiver of the Gift's view...

Ima Sample receives the weblink and opens it.  They call us to book a Tee Off Time. They turn up on the day, identify themselves as the voucher holder and enjoy their day.

Staff view...

All voucher information is on a 'voucher checking spreadsheet' for you - Nick will show you where this is.

The voucher spreadsheet has the following columns; Purchaser name, Purchaser email, Receiver Name, Booking Date, Voucher Used Date

This information is taken from the "contact us" forms that the purchaser completes after making payment. Apart from the booking date and the used date, which is completed by staff.

NB Essentially, when a customer pays for a voucher over the telephone you must ask them to put specific information into our "contact us" form on our website.  This ensures accurate personalisation of the voucher plus the voucher checking spreadsheet is updated from these contact us forms centrally.

The specific information we need on the "contact us" form is: Purchaser name and email address (to send voucher), Receiver's name, any personal message to the receiver of the gift and which voucher they have bought.

The specific instruction to the purchaser is that they complete the "contact us" form online to ensure accuracy - we cannot do this for them at golf reception. Show them / explain to them how to do it and explain what info is required.

When a gift voucher owner books their VIP Day over the phone, how do I validate that the voucher is active and that this is the customer who owns the voucher?

You check the voucher spreadsheet to see if it has been used yet, ask their name and who purchased it for them. Record the date and time they will be arriving in both the diary and in the 'booking date' column of the spreadsheet.

How do I validate that the voucher is active and that this is the customer who owns the voucher at Reception?

Ask the customer to identify themselves at reception eg a credit card or driving license and ...

Check the voucher spreadsheet to ensure not used yet - then update the spreadsheet in the "used date" section of the spreadsheet.

NB Periodically any expired vouchers or used vouchers will be marked as "used" on the digital web page voucher itself, essentially rendering it useless to the customer should we check it.  You can search the website for valid vouchers by using a keyword in the search bar eg Ima or Sample will take you to the specific voucher webpage.

How can I take payment?

The gift purchaser can pay by debit card over the phone, by paypal or by at golf reception - Nick has set up a button for each voucher, Please ensure you know where this is.

Why is it environmentally friendly?

Because we do not print the voucher, it is digital not paper (although technically the customer could print it)

Why is this such a great gift?

  1. It is amazing value - £40 of value for £20 cost for the VIP  and £46.50 of value versus £25 of cost for the Premium VIP Day
  2. It is promoting a 'healthy experience' a 'fun day out' - buying "experiences" is the new gift thing

What if the person wants to buy the voucher for themselves because it is such a big discount?

This is not the intention of the promotion. The vouchers are intended to be gifts for family (and friends that you would normally buy a Xmas present for); not a substitute for a regular greenfee payer getting a better price. What can we do? If the person buys a voucher for themselves and a relation (2 x vouchers) ie the gift is that they enjoy a VIP day together = this acceptable. They should be guided however that the vouchers are not transferable. EG if they buy a voucher for 2 different names and intend to use them both themselves = This is not possible as the voucher user name needs to match the players name.

Please be clear, but very polite in how you explain this. Nick had his first example of this on day 1 and the customer, a regular greenfee was happy to buy for himself and his son in law - perfect.

When will the promotion end?

In order to have enough time to prepare the personalised vouchers for Christmas Day, we will need to end the promotion, latest at noon on Christmas Eve. Or if we have sold too many, we will end it sooner.

When do the vouchers start and finish?

The vouchers start on Jan 1st 2020 and end Dec 31st 2020.

What if a customer tries to book a tee off time or appears at reception and their voucher isn't valid?

The process is that all VIP days have to be booked in advance over the telephone. If you are suspicious, please refer to Nick.
